CRC / CAR / VSS Certification for Volunteers

CRIMINAL RECORDS CHECK (CRC)
VULNERABLE SECTOR SEARCH (VSS)
LOCAL POLICE INFORMATION (LPI)
CHILD ABUSE REGISTRY (CAR)

EVERYONE who will be participating as a volunteer with Hammonds Plains Baseball Association (HPBA) requires the following background checks to be up to date:

  1. Criminal Records Check (CRC) which must include the Vulnerable Sector Search (VSS) and Local Police Information (LPI)
  2. Child Abuse Registry (CAR) check

Please note that these are two separate and distinct background checks. The CRC is completed through the police or an online background check (for example, mybackcheck.com) and the Child Abuse Register check is completed through the Department of Community Services (Government of NS).

Both these checks remain valid for a period of 3 years. HPBA will accept these background checks completed for other minor sports associations and/or school and/or employment purposes. HPBA will accept a copy of these checks or a copy of your profile from your eHockey or MyBackcheck profile page that contains an expiry date.

To complete your Criminal Records/Vulnerable Sector Search:

Please note: your Criminal Records Check (CRC) MUST include a Vulnerable Sector Search (VSS) and Local Police Information (LPI). If you use an online service for this certification, the onus is on the individual to request a Vulnerable Sector Search.

You have 2 options by which to complete your CRC/VSS: in person and online (via mybackcheck.com)

Option 1 – In Person:

  1. HPBA encourages you to photocopy/scan all documents prior to submitting them for your records. HPBA is not responsible for lost or misplaced documents.
  2. You may require a letter from HPBA to confirm that you are a volunteer in order to receive the rate of $30 for a volunteer Criminal Records Check – please contact HPBA to arrange for this letter.
  3. Visit our local RCMP station with your valid and required identification (Driver’s License, NS Health Card, S.I.N., Passport, etc.), as well as letter from HPBA (see step 2)
  4. Fill out the required paperwork, including the sections for the Vulnerable Sector Search
  5. Make your required payment ($30 for a CRC for a volunteer position, this includes volunteering with HPBA)
  6. If you require fingerprints: you will need to visit your local detachment. You will be informed of this requirement; please check with your detachment as sometimes there are specific times that this is offered, and an appointment may be needed.
  7. Return after the required amount of days to collect your CRC/VSS (you will be informed when your CRC will be ready for pick up)
  8. This document (original or copy/pdf/jpeg file) MUST be submitted to HPBA.
  9. Please email hammondsplainsball@gmail.com if you have any questions.
  10. CRC/VSS/LPI certification remains valid for three (3) years from the date on your certification document.

Option 2 – Online:

  1. HPBA encourages you to photocopy/scan all documents prior to submitting them for your records. HPBA is not responsible for lost or misplaced documents.
  2. Please Email to request an invitation to complete your Criminal Records Check (with Vulnerable Sector Search) via mybackcheck.com; please be sure to include the email address to which you wish to have the invitation sent.
  3. Once the invitation is received, complete request by following all instructions, and provide any documentation requested. Please ensure you include a Vulnerable Sector Search as part of the Criminal Records Check; this may require you to click a button for this option.
  4. Make your required payment.
  5. Inform HPBA  when you have been notified (via email) that your CRC (with VSS) has been completed.
  6. CRC certification remains valid for three (3) years from the date on your certification document.

To complete your Child Abuse Registry (CAR) Check:

  1. HPBA encourages you to photocopy/scan all documents prior to submitting them for your records. HPBA is not responsible for lost or misplaced documents.
  2. Visit the Government of NS Site: http://novascotia.ca/coms/families/abuse/ChildAbuseRegister.html
  3. Fill out form as per instructions and include all requested documentation
  4. Send completed form to the address included on the form.
  5. You will receive a letter from the Government of Nova Scotia that completes your check. This is the document that must be forwarded to HPBA (original or copy/pdf/jpeg file).
  6. CAR certification remains valid for three (3) years from the date on the certification document.
